Costs

Events held on City street, sidewalk, public property or private property with anticipated residential or business impacts are required to pay a non-refundable application fee. For events organized by Not For Profit organizations, the application fee is $100. For events organized by Commerical/Corporate organizations, the application fee is $200. Once the application is received by the Vancouver Special Events Office, an Event Liaison will be assigned to the project. The Event Liaison will assist in providing all of the city services required. Prior to approval being given, the application fee and deposit for will be required.

If your event requires temporary parking, police assistance or other Engineering services, an estimate of the anticipated charges will be determined by the Special Events Office and a request for deposit will be made. Most costs associated with your event will be charged to your deposit. However, other permits may be required and/or services needed (ex. ambulance, transit, etc.). These fees are payable to each individual organization.

A deposit in the amount of the estimate must be provided five working days in advance of the event. If the actual charges are lower than the estimate, the remaining funds will be refunded to the organizer after the event is over. Charges exceeding the estimate will be billed to the organizer. In both cases, the Accounting Department will provide an invoice showing a breakdown of the charges. Charges may exceed the estimate if an event runs late, if equipment is lost or stolen, or if there are safety concerns that require additional equipment or personnel. Organizers of unapproved events or of events that exceed the permit conditions will be billed for any City costs (police, engineering, etc.) incurred as a result.

There are several grants available to help offset costs incurred when holding an event. Please visit the Office of Cultural Affairs website to obtain more information.

Note to Organizers: You can anticipate a minimum two week wait for detailed accounting or refund.
