Insurance requirements for special events

Liability Insurance is mandatory for events held on City property; and evidence of insurance, at a level determined by the City, must be provided to the Special Events Office before final approval can be given. The event insurer must submit the completed Standard Insurance Certificate Form as a condition of event approval. Download a copy of the city’s standard insurance certificate form ( PDF, 85.7kb).

As a condition of being granted permission to hold a special event, applicants are required to show evidence of liability insurance which meets the following minimum requirements:

1. Minimum limit of $2,000,000 Commercial General Liability insurance against third party claims for bodily injury, death, property and loss of use. Note: Higher limit of liability insurance, and in some instances a License Agreement, may be required depending on the nature of the special event (traffic impacts, attendance numbers) and the location there the event will be held. Please confirm required limit of insurance with the city's Special Events Office;
2. The policy will include the following provisions:
   
   • Cross liability clause;
   • Additional Insured endorsement naming the City of Vancouver, it’s affiliated boards and associations, their respective employees, officers, agents and volunteers as "Additional Insured" with respect to liability arising out of the activities conducted by or on behalf of the named insured.
   • Fifteen (15) days of written notice for cancellation or any material change that will reduce the coverage of the policy

The above is the minimum insurance required by the City; each applicant is responsible for obtaining, at its own cost, any additional insurance which is required by law or deemed to be necessary.

For your convenience, special arrangements have been made with Sport B.C. Insurance to assist most special events in obtaining the appropriate liability insurance coverage, at a reasonable premium cost, satisfactory to the City. Contact Sport B.C. Insurance at (604) 737-3018 for more details.
* Note: You are not required to obtain your insurance coverages with Sport B. C. Insurance and are free to obtain insurance coverages through other insurance companies of your own choice. The City makes no representation and assumes no liability in this regard.
