  2. View the room in person (recommended). Phone our reception desk at 604-257-8333 to arrange a time.
  3. Make a rental request .
  4. Our rental coordinator will contact you within three to five business days about your request.
  5. Pay for the rental when you get an email saying your rental request is approved.

Make a rental request

  1. View the room in person (recommended). Phone our rental coordinator at 604-718-8229 or email coalharbourcc@vancouver.ca.
  2. Contact the rental coordinator with your request.
  3. Read and sign the rental agreement.
  4. Pay the rental fees and damage deposit to confirm your rental.
    • Pay by phone with a credit card (Visa, MasterCard, or American Express)
    • Pay in person with a credit card (Visa, MasterCard, American Express), debit card, cash, or cheque (made out to the City of Vancouver and paid 10 business days' before your event)

You can rent rooms up to 1:00am, provided that your guests have left and you've finished clean-up by that time.

Email your cancellation request with minimum notice to coalharbourcc@vancouver.ca to receive a refund of your payment minus the $50.00 administration fee.

The minimum notice to cancel your rental is 14 days before your rental.

If you cancel will less than the minimum notice, your refund will be your payment minus the damage deposit.

We refund your damage deposit two weeks after your rental, either by a mailed cheque or a credit card refund (on the same card used to pay for the rental).

The refund may be deducted due to costs for extra clean-up, missing or damaged equipment, staying past your rental time, excessive noise, false alarms, and so on.

You're responsible for setup and take-down at your event.

You can decorate the room as long as you don't damage or mark any surface. Don't hang decorations from the ceiling or light fixtures.

Take-down includes:

  • Stacking all tables and chairs in their original positions
  • Sweeping, mopping, or vacuuming the floor
  • Removing all decorations, garbage, recycling, and compost
  • Cleaning the counter area

Your rental time includes setup and take-down.

Alcohol may be served with a valid Special Occasion License. This license must be posted near the bar area at the event. All servers, whether paid or unpaid, are required to have either a Special Event Server Certificate or a Serving it Right Certificate.

Apply for a Special Occasion License

If you rent a room at Barclay Manor, you are not allowed to:

  • Charge an admission fee
  • Exchange money on-site
  • Sell or promote goods, services, religious beliefs, or political beliefs, unless you have written permission from the recreation supervisor
  • Teach a class, program, workshop, seminar, or activity (to hold these types of activities, provide a program proposal to the West End Community Centre reception desk)
  • Cook food in the building. Reheating food using the microwave is permitted.
