  Rental details

  • Booking confirmation - A minimum of two weeks advance booking required. A reservation fee of $500 ($1,000 for buy-out bookings), is required to confirm a booking. Please note that this amount is non-refundable in the event of a cancellation. Full payment is due 2 months in advance of the scheduled booking, and no refunds are provided for events cancelled within 60 days of the scheduled booking.
  • Rental rates - Rates vary depending on the season and day of the week. The high season is from May to September, and the low season is from October to April. All rates subject to change. A 15% discount is offered to registered non-profit organizations for weekday events. To receive the non-profit discount, a copy of the non-profit certificate must be provided by the renter prior to booking. 2023 rates may be retained for 2024 bookings if the outstanding balance is paid for by December 1, 2023. 
  • Rehearsals - Should renters wish to arrange a rehearsal prior to the wedding ceremony a 1-hour, complimentary rehearsal may be booked depending on availability. Rehearsals can only be booked Monday to Thursday between 9am and 4pm, depending on staff availability. An additional fee of $260 per hour + GST will apply for any rehearsal booking outside of standard hours. Two weeks advance booking is required. Rehearsals will be granted based on availability, but the time or date may need to be changed if there is a last minute booking. 
  • Capacity - The current capacity for a ceremony is 100, including any vendors staying on site. For receptions, the current capacity for a seated reception is 48 and for a standing cocktail reception is 65, using the indoor and outdoor patio areas. All events that wish to proceed may do so with the understanding that capacity may be limited for the event based on current COVID-19 Provincial Health Orders restricting events and gatherings, and physical distancing requirements at the time of the booked event. 
  • Food, beverage, and liquor service - No food or beverages permitted unless booked as a reception. Food and beverage is only permitted to be served within the facility and not at the covered arboured or grass areas. An itinerary of delivery, service and takedown along with vendor contact information is required at least 10 business days prior to a reception event. Please note that potable water is not available on site. A special occasion license is required for any events serving alcohol.
  • Decor, garbage, set up, and take down -  No candles, bubbles, confetti, rice, or balloons are permitted inside or outside the Celebration Pavilion. Should the renter wish to use flower petals, they must be real and cleaned up by the end of the booking. A signing table, 80 silver chiavari chairs (40 chairs on either side of the carpeted aisle), and choice of black or red carpet aisle runner are included in the rental. If the renter wishes to have fewer chairs out or arranged differently, it is the responsibility of the renter to manage this set up and take down. Renters are responsible for arranging the rental of any additional tables, chairs, tenting & catering. Please note that renters must set up and take down within their booking time frame, and all items must be delivered/picked up within the rental time - nothing can be dropped off early or left overnight. Garbage is to be placed in the provided bins located inside of the building. If the bins are full please advise staff who will provide additional bags to use. Due to weight restrictions, no vehicles are permitted on the fountain plaza near the Pavilion. Everything must be walked or trolleyed to the Pavilion from the upper parking lot.
  • Rain cover - Should the renter wish to have a rain cover for the event, it is the responsibility of the renter to organize this through an external vendor. The patio area is 9 m x 9 m (30 feet x 30 feet). Please note that a building permit from Planning & Development services is required for any temporary tents and structures over (60m²), and may take 2-3 weeks to receive.
  • Liability insurance - All events require liability insurance with the “City of Vancouver and its Board of Parks & Recreation” named as additional insured. If alcohol is being served at the event, $5 million in liability coverage is required. If alcohol will not be served, $2 million in liability coverage is required. The liability insurance certificate ($2 million standard coverage) is required 10 business days before the event date.
  • Music -  A $10 SOCAN fee is charged if music is played. The Pavilion is located in a residential area, noise must be kept at a reasonable level. The City of Vancouver noise bylaw must be adhered to at all times. Amplified music cannot exceed 65 decibels before 10pm and 40 decibels after 10pm.
  • WiFi - The facility has free Wi-Fi accessibility, however as it is a public network, there is no guarantee that the signal will be strong enough for video conferencing style events. It can be accessed on the #VanWiFi network and no password is required.
  • Drones, animal, and smoking policy - Please note that drone photography or videography is not permitted on site. Ensure that photographers are aware prior to the event. No smoking or vaping permitted on or near premises. Pets are not permitted. Working guide and service dogs are welcome.
  • Piano - The piano is no longer available.

  How to book

  Location scouts may book an appointment in advance to view the Celebration Pavilion. Book an appointment by calling 604-654-0780 or QEPavilion@vancouver.ca 

  • Complete an application form PDF file (444 KB) 
  • Attach a $5,000 damage deposit cheque payable to: City of Vancouver – QE Celebration Pavilion, GST# R121 361 042
  • Include a copy of insurance and provide it to Maria Di Antonio at the Celebration Pavilion

  Information icon A permit is required and will be issued to you once your booking is approved. Please allow 3 to 5 business days to process an application. The deposit cheque will not be cashed and will be returned to you upon payment of invoice following completion of filming. The rental fee is required per calendar day or portion thereof and is applicable to all prep, filming, and wrap days for the Celebration Pavilion.

  Conditions of use

  • Smoking is not permitted on the premises as the Celebration Pavilion and Queen Elizabeth Park are a smoke free environment. Vancouver parks, beaches, and facilities are entirely smoke-free (effective September 1, 2010).
    • If you require a smoking area, the perimeter at the sidewalks like that of 33rd and Cambie may be used.
  • Due to weight restrictions, no lifts are permitted.
  • Use of UAV'S/Drones:
    • All commercial drone filming that take off or lands on or where the safety perimeter crosses onto city or parks land, must have a permit issued by the appropriate film office.
    • All commercial filming must comply with Transport Canada regulations as well as City and Parks Bylaw regulations and guidelines.
    • All commercial drone operations must provide proof of compliance with Transport Canada guidelines for the appropriate category of drone filming, including the appropriate pilots certificate, have a job-specific, or open special flight operations certificate (SFOC) when appropriate.
    • SPOC's are required for all filming using a drone over 25 kg, flying over 400 feet, or flying in restricted air space.
    • A pilot certificate - advanced operations is required when there is any possibility that the drone will be operated within 30 m (100 feet) of a bystander (public).

  • No vehicles are permitted on the fountain plaza or surrounding areas. All delivery trucks, making deliveries for the user and not part of the regular crew, or contracted to outside suppliers, must know exactly where they are going before entering the park.
  • Any special requests need to be discussed, approved, and confirmed prior to any bookings.
  • The user will inform all residents of the adjacent street and the exercise groups in advance of the days of shooting.
  • Any live planted material, mulch, or soil brought in must be sterilized and in bags. To be approved and inspected by garden staff before hand.
  • There is to be no digging in the park unless approved due to potential damage to the irrigation system. Spikes or sunken poles are not allowed. All structures must be secured above ground (with blocks).
  • No plants will be pruned without permission and under the supervision of the QE Celebration Pavilion Liaison.
  • Everyone must take extra precaution when walking around the pathway and surrounding the Celebration Pavilion when moving equipment.
  • Crews are not allowed to enter planted beds.
  • No candles, torches, smoke, mist, confetti, balloons, and no chemicals of any kind.
  • During prep and filming signs must be placed on the pathways informing Park visitors that filming is in progress.
  • Refreshment area location will be chosen by mutual consent with the QE Celebration Pavilion Rental Department and Park Board Special Events. All stipulations under sensitive area protection must be adhered to.
  • User must ensure that there is no damage done to the Celebration Pavilion and Queen Elizabeth Park.
  • The damage deposit will cover restoration of any disturbed areas to the condition in which they were prior to filming. In the event of a disagreement, the Park Board will decide in its reasonable judgment.
  • QE Celebration Pavilion Liaison must be present during all prep, filming and wrap.
