Rental rates and access times
Booking rates vary throughout the week. Access to the facility is only permitted within the rental time specified on the rental agreement. All rates are subject to change. A 12% discount is offered to registered non-profit organizations for events Monday through Friday. The 12% non-profit discount does not extend to private events, such as weddings. This discount is specifically for registered non-profit groups that provide proof of their status, such as a CRA certificate or BC Society Number.
For any 2027 bookings, the 2027 operating hours and rental rates have yet to be established. If you wish to confirm a 2027 booking, and are flexible in not knowing the operating hours, a non-refundable reservation fee is required at the time of booking and the 2026 rates can be secured if the outstanding balance is paid for by Friday, December 4, 2026.
Booking confirmation
A minimum of 2-weeks (10 business days) advance notice is required. Bookings confirmed with less than 2 weeks will incur an additional last-minute booking fee. A non-refundable reservation fee is required at the time of the booking to secure your reservation. Full payment is then due 2 months before your scheduled booking date. Cancellations made within 60 days of the scheduled booking date will not be eligible for a refund.
Building temperature
The building does not have air conditioning. Fans are available for warmer days and radiant heated floors are turned on for those cooler months.
Capacity
This includes the use of the outdoor back patio area of the Pavilion:
- For indoor, lecture style seating, we can accommodate a maximum of 100 people.
- For indoor, seated receptions, we can accommodate a maximum of 48 people.
- For indoor, standing cocktail reception, we can accommodate a maximum of 65 people.
Cancellation and rescheduling policy
- Should you wish to reschedule, there will be an additional $50 plus GST administration fee for any booking changes requested. The new event must be within 12 months of the original date booked or the booking will be deemed cancelled. If your new date falls into a new year, you are required to pay the difference for the new year’s rates.
- The reservation fee is not refundable under any circumstances. If the event is cancelled more than 60 days before the event date, the reservation fee may be applied as a reservation fee for a new booking scheduled within 12 months of the cancellation. If your new date falls into a new year, you are required to pay the difference for the new year’s rates.
- The event fee is non-refundable for bookings cancelled within 60 days of the booked event but is refundable for events cancelled more than 60 days before the event date.
- If we (Vancouver Board of Parks and Recreation) are unable to proceed with your booking for any reason, you may choose to either postpone your event for up to 12 months from the original date (with the rescheduling fee waived) or receive a full refund of all payments made. If the rescheduled date falls in a new calendar year, you will be responsible for paying any applicable rate difference for that year.
Included in the rental
- The standard setup for the facility is a ceremony arrangement including 80 silver chiavari chairs (40 on either side of a carpeted aisle).
- You may select either a red or black aisle runner.
- The Pavilion is further enhanced with silk floral decorations, placed at the stage and along the aisle chairs, with your choice of 2 colour options: red and green or blush, lavender, and white.
- A linen covered signing table and a speaker system with auxiliary input are also provided. Information icon If a renter requires fewer chairs out or arranged differently, they are responsible for managing both the set up and take down of these items within their designated rental timeframe.
Liability insurance
All events require liability insurance with the “City of Vancouver and its Board of Parks and Recreation” named as additional insured. $2 million in liability coverage is required.
If permitted and you will be serving alcohol, a copy of the special event license is required, and the liability insurance will need to be $5 million in coverage. Information icon If you are serving alcohol, it is not permitted beyond the building of the Celebration Pavilion with your liquor licence. No food or beverage is permitted in the arbour or grass areas surrounding the facility.
Logistics: Setup, takedown, and deliveries
Because of weight restrictions, no vehicles are permitted on the fountain plaza near the Pavilion. Everything must be walked or trolleyed to the Pavilion from the upper parking lot.
The renter is fully responsibility for all setup and takedown activities, which must be completed strictly within the rental period stipulated in the rental agreement. All equipment, personal items, and vendor deliveries and pickups must occur within this timeframe.
Facility staff cannot accept deliveries, assist with pickups, or provide setup or takedown assistance. The renter or their designated representatives must be present for all logistical coordination. All confirmed details must be submitted to the rentals department at least 3 weeks (15 business days) in advance.
Music Entandem fee
An Entandem fee required if live or pre-recorded music is played. This is a music royalty tariff for all rentals with music. Pricing to be determined dependent on rental group size, type of music, activity, and with or without dancing.
Photography and drones
Event photography is welcomed during your rental and can take place inside or outside of the Pavilion within your rental time and throughout Queen Elizabeth Park. It is however, strictly prohibited to enter plant beds.
Permits are not required for personal photography within Queen Elizabeth Park. However, the sanctioned off areas of the Quarry are not allowed. Be courteous of the space surrounding the Celebration Pavilion for events that may be happening before or after yours.
Drone photography and videography is not permitted anywhere on premises, this includes outside in the park. Please make sure your photographers and videographers are aware before your event.
Prohibited items, smoking, and animals
The following items are strictly prohibited within or immediately outside the Pavilion as they may harm the environment or facility:
- Candles
- Fireworks
- Sparklers
- SPFX (special effects)
- Mist
- Fog
- Foam machines
- Strong flash photography
- Confetti
- Glitter
- Rice
- Bubbles
- Balloons
- Real or artificial floral petals
No smoking or vaping permitted on premises. This includes outside in the park.
Pets are not permitted. Working guide and service dogs are welcome.
Receptions
No food or beverage are permitted on or near our facility unless booked as a reception booking.
For reception bookings, the arbour areas surrounding the facility remain food and beverage-free zones. The only exception is bottled water, provided all empty bottles are collected, placed in recycling bins, or removed from the premises before your event concludes.
For all reception events, a detailed itinerary covering delivery, setup, service, and takedown along with complete vendor contact information is required at least 1 month (30 business days) before the event date.

A special occasions licence is required if alcohol will be served at your reception.
Site amenities
This picturesque setting is wheelchair accessible. Pay parking is available throughout Queen Elizabeth Park and operated by Easy Park. Seasons in the Park Restaurant is also just a short walk away, located adjacent to the lookout point near Bloedel Conservatory.
Tents
Should the renter wish to have a rain cover for the event, advance discussion is required with the Celebration Pavilion rentals department. It is the responsibility of the renter to organize tenting through an external vendor. The patio area is 9 metres by 9 metres (30 feet by 30 feet). No staking is permitted and tents must be weighted down.
Waste Management and cleanup
Waste must be appropriately sorted into the designated 4-stream receptacles (garbage, mixed containers, mixed plastic, and organics) located on site. The renter is responsible for making sure all debris, including small items such as zap straps and tape, is removed from the premises and placed in appropriate disposal bins at the end of the event. If a third party is contracted for cleanup and removal, the rentals department must be notified in advance.
Wedding rehearsals
If renters wish to arrange a rehearsal before a wedding ceremony booking, depending on availability, a complimentary 1-hour rehearsal can be booked Monday to Thursday between 9am and 4pm (last timeslot being 3pm). Booking a rehearsal outside of these dates and times will be subject to availability for an additional fee of currently $293 for each hour plus GST.
Booking a wedding rehearsal on the same day as your wedding, will have limitations, may incur an additional fee and is subject to availability, especially if the venue has another booking that day. The time or date may need to be changed if there is a last-minute event booking. Tentative holds will not be confirmed until 2 weeks before the rehearsal date.
Wi-Fi
The facility has free Wi-Fi, however it is a public network. There is no guarantee that the signal will be strong enough for video conferencing style events. It can be accessed on the #VanWiFi network and no password is required.
