  Information icon Morning bookings are a maximum of 2 hours. With advance notice, evening bookings may be extended for an additional hourly fee of $305 plus GST, with the latest exit at 10pm.

  Package includes

  • Two hours of exclusive use of the Conservatory before or after regular operating hours.
  • Facility liaison for 2 hours.
  • Admission for up to a maximum of 50 people. This total includes everyone present for the event—guests, infants, children, and all vendors (such as officiants, photographers, and any other vendors remaining on-site).
  • A signing table and a white folding chair, access to power, and use of the facility sound system are available upon request.

  Separate rates apply for commercial special events (such as concerts, live streaming, public events), commercial photography, and filming. The Conservatory can accommodate special events up to a maximum of 150 people.

  Additional rental details

  Rental rates and times

  • Booking times vary throughout the year.
  • Access to the facility is only permitted within the rental time specified on the rental agreement.
  • All rates are subject to change.
  • A 15% discount is offered to registered non-profit organizations for events Monday through Friday. The 15% non-profit discount does not extend to private events, such as weddings. This discount is specifically for registered non-profit groups that provide proof of their status, such as a CRA certificate or BC Society Number.
  • For any 2027 bookings, the 2027 operating hours and rental rates have yet to be established. If you wish to confirm a 2027 booking, and are flexible in not knowing the operating hours, a non-refundable reservation fee is required at the time of booking and the 2026 rates can be secured if the outstanding balance is paid for by Friday, December 4, 2026. 

  Booking confirmation

  • A minimum of 2-weeks (10 business days) advance notice is required. Bookings confirmed with less than 2 weeks will incur an additional last-minute booking fee.
  • A non-refundable reservation fee is required at the time of the booking to secure your reservation. Full payment is then due 2 months before your scheduled booking date.
  • Cancellations made within 60 days of the scheduled booking date will not be eligible for a refund.

  Cancellation and rescheduling policy

  • Should you wish to reschedule, there will be an additional $50 plus GST administration fee for any booking changes requested.
  • The new event must be within 12 months of the original date booked or the booking will be deemed to have been cancelled. If your new date falls into a new year, you are required to pay the difference for the new year’s rates. 
  • If we (Vancouver Board of Parks and Recreation) are unable to proceed with your booking for any reason, you may choose to either postpone your event for up to 12 months from the original date (with the rescheduling fee waived) or receive a full refund of all payments made. If the rescheduled date falls in a new calendar year, you will be responsible for paying any applicable rate difference for that year.

  Reservation fee

  • The reservation fee is not refundable under any circumstances.
  • If the event is cancelled more than 60 days before the event date, the reservation fee may be applied as a reservation fee for a new booking scheduled within 12 months of the cancellation. If your new date falls into a new year, you are required to pay the difference for the new year’s rates. 

  Event fee

  • The event fee is non-refundable for bookings cancelled within 60 days of the booked event but is refundable for events cancelled more than 60 days before the event date. 

  Building temperature

  To make sure that the Bloedel Conservatory’s exotic birds, tropical plants, and flowers thrive, the facility is kept in a climate-controlled environment that mimics a natural tropical habitat. The temperature is maintained at approximately 21°C (70°F) with high humidity. Since the temperatures cannot be adjusted, we recommend dressing in light, comfortable layers to make your visit as enjoyable as possible.

  Capacity, designated event space, and admission

  • The rental includes admission for a maximum of 50 people.
  • For essential event planning, safety and security purposes, we kindly require a complete list of all attendees along with contact information for all vendors, a minimum of 3 weeks (15 business days) before the event.
  • Because of the narrow pathways, there is a designated space for events located near the Banyan Tree, which accommodates the 50-person maximum capacity.

  Liability insurance

  • All events require liability insurance with the “City of Vancouver and its Board of Parks and Recreation” named as additional insured.
  • $2 million in liability coverage is required.

  Music Entandem fee

  An Entandem fee required if live or pre-recorded music is played. This is a music royalty tariff for all rentals with music. Pricing to be determined dependent on rental group size, type of music, activity, and with or without dancing.

  Photography and drones

  • Event photography is welcomed during your rental, subject to the following guidelines intended to protect the facilities sensitive environment, birds, and plants.
  • All individuals must remain on the paved pathways.
  • Entering floral beds or restricted bird areas are strictly prohibited.
  • Strobe and strong flashing lights are not permitted, as it is harmful to the birds.
  • Drone photography and videography is not permitted anywhere on premises, this includes outside in the park. Make sure your photographers and videographers are aware before your event.

  Prohibited items, smoking, and animals

  • No smoking or vaping permitted on premises.This includes outside in the park.
  • Pets are not permitted. Working guide and service dogs are welcome.
  • The following items are strictly prohibited within or immediately outside the Conservatory because of the potential harm to the environment, animals, and plants:
    • Candles
    • Fireworks
    • Sparklers
    • SPFX (special effects)
    • Mist
    • Fog
    • Foam machines
    • Strong flash photography
    • Confetti
    • Glitter
    • Rice
    • Bubbles
    • Balloons
    • Real or artificial floral petals

  Receptions

  • Events serving food and beverage are not permitted in or near the facility at any time.
  • Bottled water is permitted. Make sure that all bottles are picked up and placed in recycling bins or taken with you before the end of the event.
  • If you are interested in hosting an event that can include a reception or catering, we invite you to inquire about our alternative venue within the park, the Celebration Pavilion.

  Logistics: Setup, takedown, and deliveries 

  To preserve the sensitive ecosystem of the Bloedel Conservatory and make sure the avian residents and botanical collections remain safe, follow the operational guidelines: 

  • The renter is fully responsibility for all setup and takedown activities, which must be completed strictly within the rental period stipulated in the rental agreement. All equipment, personal items, and vendor deliveries and pickups must occur within this timeframe.
  • Facility staff cannot accept deliveries, assist with pickups, or provide setup and takedown assistance.
  • The renter or their designated representatives must be present for all logistical coordination. All confirmed details are due to the rentals department no later than 3 weeks (15 business days) in advance. Submit all confirmed details to the rentals department no later than 3 weeks (15 business days) in advance.

  Seating

  • The Conservatory is primarily a standing-only venue. Seating is not provided on site.
  • If seating is required, a maximum of 10 chairs may be brought in for use in the designated event space by the Banyan Tree. It is mandatory to maintain a clear walkway of a minimum of 1.52 meters (5 feet) around any seating arrangement for emergency access.
  • If you are planning to bring in chairs, notify the rentals department in advance. 

  Site amenities

  • This picturesque setting is wheelchair accessible.
  • Pay parking is available throughout Queen Elizabeth Park and is operated by Easy Park.
  • Seasons in the Park Restaurant is also a short walk away adjacent to the look-out point near the main entrance.

  Waste management and cleanup

  • Waste must be appropriately sorted into the designated 4-stream receptacles (garbage, mixed containers, mixed plastic, and organics) located on site.
  • The renter is responsible for making sure all debris, including small items such as zap straps and tape, is removed from the premises and placed in appropriate disposal bins at the end of the event.
  • If a third party is contracted for cleanup and removal, the rentals department must be notified in advance.

  Wedding rehearsals

  • Based on availability, a wedding rehearsal may be booked outside regular Conservatory hours for an additional hourly fee.
  • A minimum of 2 weeks’ notice is required for scheduling. Bookings cannot be confirmed sooner than 2 weeks in advance.

  Wi-Fi

  • The Conservatory has free public Wi-Fi, though it is not reliable or strong enough for music streaming or video conferencing style events.
  • The Wi-Fi is accessible on the #VanWiFi network, and no password is required.
  • If you are broadcasting a virtual event, we highly recommend bring in a hotspot for more reliable service.

  How to book

  1. The application for photography form PDF file (2.6 MB) must be submitted with a map of the Conservatory indicating the requested locations. Information icon Check back soon for the 2026 application form.
     • Include a copy of your insurance and the damage deposit cheque for $1,000 made out to City of Vancouver – Bloedel Conservatory, GST #R121361042.
     • The damage deposit cheque will not be cashed and will be returned to you following completion of your shoot, should the facility be left the way it was found.
  2. Allow 3 to 5 business days to process an application and allow sufficient time for possible delays caused by your legal department.
  3. If your application is approved, a $500 plus GST non-refundable reservation fee ($1,000 plus GST for buyouts) is required to confirm the booking, and the Bloedel Conservatory rentals staff will draft a rental agreement based on the information provided in the application form. This amount goes towards the rental balance. Once processed, we’ll email you the rental agreement to sign.
  4. Liaison supervision is required for the duration of the shoot.

  Morning bookings are a maximum 2-hours, between 7:45am to 9:45am. Evening shoots may be extended with advance notice for an additional hourly rate of $305 plus GST and cannot go past 10pm. Each additional hour is $290 plus GST. Liaison supervision is required for the duration of the shoot.

  For complex shoots, garden superintendent time may be required (for a fee).

  Conditions of use

  1.  Any special requests need to be discussed, approved, and confirmed before any booking.
  2. Conservatory supervisor or liaison must be present during all prep, filming, and wrap.
  3. An itinerary and load-in and load-out schedule is required at least 48 hours before your booking to make sure all facility staff are aware of the activities planned for your rental day(s).
  4. If required, the renter will inform all residents of the adjacent streets in advance of the shoot dates. 
  5. No food, or live animals are permitted on site since they may cause threat to the birds in the Conservatory.
  6. No real candles, real or artificial floral petals, mist, fog or foam machines, sparklers, SPFX, bubbles, confetti, balloons, rice, chocolate, or avocados, as these are harmful to the birds and the sensitive ecosystem of the Conservatory.
  7. No loud or aggressive music or strobe or strong flashing lights are permitted as it can be very stressful and upsetting for the birds. If there is a music video, we require a sample of the sound to review in advance of the booking. 
  8. Note that many birds do walk the pathway. Everyone must take extra precaution when walking around the pathway and moving equipment for our birds' safety.
  9.  Do not feed or attempt to handle any birds at any time.
  10. Small birds and fish are not removable under any circumstance.
  11. The larger perched birds may only be removed with the permission of our Conservatory supervisor or liaison.
  12. The main pathways must be kept clear to allow our regular staff to work unless discussed otherwise. 
  13. During prep and filming, a sign must be placed outside to inform Conservatory patrons that filming, and photography is in progress.
  14. Any live plant material, mulch, or soil brought in, must be sterilized and in bags. But before doing so, must be discussed in advance, then if approved, must be inspected by Conservatory staff.
  15. Crew is not permitted to enter planted beds. Do not remove any plant tags or labels. Plant labels may only be removed with permission of the Conservatory superintendent or liaison.
  16. There is to be no digging in the Conservatory unless approved due to potential damage to the facility. Spikes or sunken poles are not allowed. All structures must be secured above ground (weighted with blocks).
  17. No plants will be pruned without permission and under the supervision of the Conservatory superintendent or liaison.
  18. Everything must be freestanding; nothing can be hung from trees or vegetation or staked in the floral beds.
  19. Drones: Note that the Vancouver Park Board does not allow the use of drones anywhere within or surrounding the Conservatory. We cannot risk disturbance or harm to the birds. 
  20. Deliveries and pickups can only take place within your rental time. The Bloedel Conservatory staff cannot accept deliveries or assist with pickups on behalf of the client. It is the responsibility of the renter to be present or have someone present for all deliveries and pickups.
  21. If required, a refreshment area location will be chosen by mutual consent with the Conservatory supervisor or liaison. Catering vehicles must remain in parking lot. Food or beverage is not permitted inside the facility.
  22. Smoking: No smoking or vaping permitted on premises or in the park itself.
  23. All stipulations under Sensitive Area Protection must be adhered to.
  24. Renter must make sure that there is no damage done to the Conservatory.
  25. If required, the damage deposit will cover part or all restoration of any disturbed areas to the condition in which they were before filming. In the event of a disagreement, the Park Board will decide in its reasonable judgment.
